Privacy Policy

123Beep provides attendance, meeting, participant, leader, organization, and NFC card management tools for groups, clubs, teams, schools, youth organizations, and other communities. This Privacy Policy explains how 123Beep collects, uses, protects, and shares information when you use the 123Beep mobile application, website, and related services.

By using 123Beep, you acknowledge the practices described in this Privacy Policy. If you use 123Beep on behalf of an organization, you are responsible for making sure you are authorized to provide the information you enter into the service.

1. Information we collect

Account and authentication information

When leaders or administrators create or use a 123Beep account, we may collect information such as name, email address, user identifier, organization membership, assigned role, and group access. Account authentication is provided using Supabase.

Organization and participant information

Authorized organization users may enter information needed to run their organization and track attendance. This may include:

  • Organization name, settings, colors, icons, and timezone
  • Group, team, class, troop, or level information
  • Participant names and group assignments
  • NFC card identifiers assigned to participants
  • Meeting names, dates, times, locations, and attendance records
  • Manual and NFC check in records
  • Leader and administrator roles and access assignments
  • Optional leader profile photos
  • Organization sayings, celebration settings, and other preferences

Technical and service information

When you use 123Beep, our service providers may process limited technical information that is necessary to deliver and secure the service. This can include IP address, request timestamps, browser or device information, app version, authentication tokens, and security or error logs.

Information 123Beep does not intentionally collect

The current 123Beep service is not designed to collect precise device location, phone contacts, SMS messages, call logs, health information, or payment card information as part of its attendance functionality.

2. How we use information

We use information to:

  • Authenticate leaders and administrators
  • Create and manage organizations, groups, participants, and meetings
  • Match NFC cards with participants
  • Record, display, correct, and report attendance
  • Manage leader access and organization invitations
  • Provide statistics, reports, and organization management tools
  • Provide support and troubleshoot technical issues
  • Protect the security, integrity, and reliability of the service
  • Comply with applicable legal obligations

3. NFC card data

123Beep uses NFC card identifiers to associate a physical NFC card with a participant. The identifier is used for check in and card management. 123Beep does not use NFC functionality to read unrelated information from a participant's personal phone or other device.

4. Information about children and minors

123Beep is designed primarily for organization leaders, administrators, and other authorized adults. Participants, including minors, may use the supervised NFC check in experience without creating their own 123Beep account.

Information about a minor participant is entered and managed by an authorized organization user. Organizations are responsible for obtaining any consent or permission required before entering or managing participant information in 123Beep.

123Beep does not sell participant information and does not use minor participant information for behavioral advertising.

5. How information is shared

We do not sell personal information. We do not share participant or account information with advertisers for targeted advertising.

Information may be shared in the following limited circumstances:

  • Within an organization. Authorized leaders and administrators may access information according to their assigned role and group permissions.
  • Service providers. We use service providers to host, authenticate, secure, and operate 123Beep. Supabase provides backend database, authentication, and storage services. Vercel hosts the 123Beep website.
  • Legal and safety reasons. We may disclose information when reasonably necessary to comply with law, respond to lawful requests, protect users, investigate abuse, or protect the security and integrity of 123Beep.
  • Business changes. If 123Beep is involved in a merger, acquisition, reorganization, or transfer of assets, information may be transferred as part of that transaction subject to applicable law.

6. Data security

123Beep uses reasonable administrative and technical safeguards to protect information. These include encrypted network connections, authenticated access, role based permissions, and database access controls. Supabase Row Level Security is used as part of the service's access control design.

No online service can guarantee absolute security. Users should keep their login credentials private and notify us if they believe their account or organization data has been compromised.

7. Data retention

We retain information for as long as reasonably necessary to provide 123Beep, maintain organization records, protect the service, resolve disputes, and meet legal obligations. Organization administrators may deactivate or remove certain records through the service when those features are available.

When an account or data deletion request is completed, information associated with the request is deleted or de identified as appropriate. Limited information may be retained when reasonably necessary for security, fraud prevention, legal compliance, or backup rotation. Organization records that belong to the organization rather than an individual account may be retained without continuing to identify the deleted user where appropriate.

Organization administrators, parents, guardians, or other authorized individuals may also contact us to request correction or deletion of participant information when appropriate.

9. Your choices

Depending on your relationship with 123Beep, you may request to:

  • Access or correct your account information
  • Update organization information you are authorized to manage
  • Delete your account and associated personal data
  • Request correction or deletion of participant information

We may need to verify the identity and authority of the person making a request before acting on it.

10. Third party services

123Beep relies on third party service providers to operate parts of the service. Those providers process information according to their own privacy and security terms and the services they provide to 123Beep. Our primary infrastructure currently includes Supabase for backend services and Vercel for website hosting.

11. Changes to this Privacy Policy

We may update this Privacy Policy as 123Beep changes. When we make material changes, we will update the effective date above and may provide additional notice when appropriate.
